There are two type of calendars that can be added to Outlook; Public folder calendars and Shared calendars. The same is true of mailboxes. Please utilize the instructions below to add these two types of calendars and mailboxes to your Outlook.
Shared Accounts
Calendars
Adding Shared Calendar to Outlook *Note: Verify with IT if you have access to the calendar.
- Click on Calendar in your navigation bar.
- Right click Other Calendars>Select Add Calendar>Select “From Address Book “
- Search for the resource calendar>Double-click on the correct calendar>Click OK
Mailboxes *Note: Verify with IT if you have access to the mailbox.
- Open Outlook
- Click on File>Click on the Account Settings button>Select Account Settings
- Double click your account>Click the More Settings... button
- Click the Advanced tab>Click the Add... button
- Enter part or all of the name of the mailbox>Click OK>Click Next>Click Finish>Click Close
Public Folders

Navigating to Public Folders
- Open Outlook. Click on the icon as demonstrated below and select Folders.
- This will take you to a screen that looks like your home screen, except, now a new data file appears under your own.
- Expand the Public Folders section and each departments’ Public Folders will now be categorized based by Department/Section.
Adding Public Folder Calendars to Outlook *Note: Verify with IT if you have access to the calendar.
- Navigate to the specific calendar you want to add and right-click and click “Add to Favorites”. When you click “Add to Favorites” on a calendar, a little dialogue box appears and requires you to name the Calendar.
- Clicking add will then take the calendar to the calendar section of your navigation pane.
Mailboxes
Adding Mailbox Types of Public Folders to Outlook *Note: Verify with IT if you have access to the folder.
- After adding the folder to favorites as explained above in the calendar section, navigate to the Favorites folder listed under the “Public Folders” Data File.
- Right click on the folder that you just added to that favorites folder and click “Add to Favorites” The folder will now appear above your mailbox under Favorites.
