Regular Distribution Groups

Use these steps if IT has created the group for you. If you have created the group through SharePoint or Teams, then the steps will not work for you. Please scroll to the second section of this document for those steps

 

  1. Go to this url, Distribution groups - Outlook Web App (office365.com)
  2. You will then see the distribution groups that you belong to and the on the right the distribution groups that you own or have the ability to add or remove members of the group.
  3. Highlight any of the distribution groups that you own and click on the pencil icon to change the membership.

      4. Click on the membership menu item and click on the + or - symbols to add or remove members.

      5.  If you choose the plus symbol, then on the next screen click on the All Users list item to select or search the list of all COF users. Click on the + symbol next to their name. Click on Save twice to add the new member to the group. *Note: If you want to add an external email address to a group then please contact IT so that we can make this external email address available to you in the directory.


      6. External email addresses

          a. To add an external email address to a group please contact IT so that we can make it available to you in the directory. Once we have done that then you can 

              use the All Contacts list item to find the new external contact.



Teams or SharePoint Group Management


These types of groups are created whenever a new Teams or SharePoint site is created. If you are the owner of one of these groups, then you can manage the membership using the instructions below. These steps will not work for other types of groups.

Adding Members to the Group


1. Log into office.com>Open Outlook>In the Mail area of Outlook at the bottom of the left side menu>Expand Groups

2. Click on the link Manage groups


3. Highlight the applicable group and click on the Manage group members link in the details of the group.

4. Click on Add members and then search for the appropriate person and click Add.

5. To remove an existing member from the group click the X next to their name.
