Our spam solution is provided by Microsoft through our Office365 subscription.  


Safe Email that is Marked as Spam

There are two methods that Microsoft utilizes to protect our organization from Spam; Quarantine and the Junk Email folder.  Quarantine is utilized for high level spam and phishing attempts and the Junk Email folder is utilized for low level spam.

     Quarantine

Every hour if you have email in quarantine you will receive an email which lists the email that has been quarantined.  You can utilize this email to release any messages from quarantine by clicking on the link that states, "Release to Inbox".  This will only work if the email was quarantined less than 30 days ago.


To review your email at any time that is caught by the spam filter please do the following;

  • Enter this url into a web browser url window; https://security.microsoft.com/quarantine
  • Expand Threat management in the left side pane
  • Cick on Review
  • Click on Quarantine to review your quarantined messages

To release an email from quarantine from this site follow these steps;

  • Click on the applicable email
  • Click on the Release button


     Junk Email Folder

In every email account there is a folder titled Junk Email.  Microsoft sends email to this folder if it determines that the threat of the email is of lesser certainty than those sent to quarantine.  Email in this folder is protected because links in the email don't work nor do pictures display.  Once you move an email from this folder to any other in your account then these protections are no longer present.

Add the Sender of Email to your Safe Sender List

        Desktop Outlook

  • Open the desktop Outlook>Right click the email that was released>Select Junk>Select Never Block Sender
  • Or if you don't have a current email from this sender then;

    Click on Junk on the Home tab as demonstrated below and select Junk E-mail Options>Click on the Safe Senders tab and add the email address(es)


        Web Outlook

  • Open a browser>Enter office.com into the URL address window>Press the Enter key on the keyboard
  • Click on the Outlook icon>Click on the gear icon in top right corner of window
  • Type safe senders into the search box at the top>Select "Safe Senders and Domains"
  • Click on the Add button

       

  • Enter the email into the box


Unsafe Email that is Delivered to Your Mailbox

Report using the Submit Email button as show below. Also, to block the sender from sending emails to you, right click the email as demonstrated above and choose Block Sender. This does two tasks; moves the email into your Junk folder and will automatically move any future emails from this sender to your Junk folder.
